Personnel Expenses
Support Center Tips: If an expense involves people, it is likely to belong in Personnel expenses.
Customization:
- All surveys see the Personnel Expense section
- Survey settings control if you see functional expense columns or not.
- CDP surveys for organizations with less than $50k in expense will not see the 3 functional expense categories.
Required Fields:
- W2 Employee Salaries, Benefits, Payroll Taxes: if you enter data, you must enter the number of positions and turnover in Workforce under Workforce & Workspace
- Independent Contractors: if you enter data, you must enter the number of positions and turnover in Workforce under Workforce & Workspace
- Visual/Performing Artists Breakout: You must enter a number, if it is zero, enter zero. If you enter anything other than zero, you must enter the number of employee and contractors in Workforce under Workforce & Workspace
Breakout Questions:
- Visual/Performing Artists: Of your organization’s total personnel expenses above, what portion was paid to artists and performers?
- Examples: payments to painters, graphic designers, sculptors, dancers, musicians, actors, etc
- Amounts included here should also be entered in the earned revenue section above
- This field is required, if you do not have and visual or performing artists on staff enter zero

Non-Personnel Expenses
Support Center Tips: With just 3 non-personnel expense lines, most orgs will have to consolidate expenses into the Non-personnel Expenses Not Included Above. Check out this article for the best way to do that.
Customization:
- All surveys see the Personnel Expense section
- Survey settings control if you see functional expense columns or not. CDP surveys for orgs with less than $50k in expense will not see the 3 functional expense categories.
Required Fields:
- Non-Personnel expenses Not Included Above: if you enter data, a required description field appears. The notes that are entered are at your discretion.
- Functional Expense Estimation: Under $50k CDP surveys require that you enter percentages that equal 100%
- Marketing Expenses Personnel: This field is required. If you have no marketing expenditures, enter zero.
- Marketing Expenses Non-personnel: This field is required. If you have no marketing expenditures, enter zero.
Breakout Questions:
- Marketing Expenses: Of your organization's total operating expenses, how much was spent on marketing personnel and non-personnel expenses?
- Personnel examples: salaries or wages for marketing employees, marketing agency fees, independent contractor fees related to marketing, etc. For employees who spend part of their time on marketing, include a percentage of their salary equal to the portion of time they spend on marketing activities.
- Non-personnel examples: cost of advertising space, marketing-related printing and postage costs, promotional materials, etc.
- Amounts included here should also be entered in the earned revenue section above
- This field is required, if you do not have marketing expenses enter 0
- Digital Program Expenses: Of your organization's total operating expenses, how much was spent on marketing personnel and non-personnel expenses?
- Examples: webinar software fees, livestreaming costs, artist fees, etc.
- Amounts included here should also be entered in the earned revenue section above

Support Center Tips
- These are brief narrative fields that appear at the end of the Revenue, Expenses, Balance Sheet, and Program Activity & Audiences sections
- We want to clarify that each narrative section is optional, but if you do add information to them, the narrative will appear in your report to all funders
- They will appear for each year in funder reports
- They have a text limit of 500 characters
- The narrative fields are really intended as annotations and explanations of the data in your report
- They are not intended to replace any additional narrative portions of your grant
- We encourage uses to stay focused on explanations of the data in these fields
